Advice: If you print this page, it's always at hand and you can read it if somewhat is unclear.

Bibliography import#

PUMA allows you to import bookmarks and publications from other programs. The internationally standardized data format that is supported by all major bibliographic management programs is called BibTeX. The import takes place in two steps. First, you have to export the publications from your previous reference management software, then you have to import the BibTeX data into PUMA.

BibTeX export from my previous reference management software#

Goal: This guide gives you a brief introduction to BibTeX export from your previous reference management program.

Advice: Please note that apart from the different programs there are also different program versions, so there may be two or more ways to export data in one program. Therefore you should try all the options if necessary.

  • Citavi
    1. Click on "File" in the upper menu, then on "Export".
    2. A dialog appears. Choose, if you want to export only some articles or all articles. Then in the bottom of the dialogue, click on "Next".
    3. You will be asked about your preferred export format. Select "BibTeX (without extension)" and click on "Next".
    4. Next you will be asked where you want to save the file. Select "Save text file into the clipboard" and click on "Next".
    5. Finally you will be asked if you want to save your export settings.
Advice: We recommend the following procedure:
      1. Select "Yes, under the following name".
      2. In the textbox, enter "BibTeX".
      3. Check the box with "Automatic Export on Save".
Reason: If you follow this advice, Citavi will automatically export all data when you save the Citavi project (e.g. "File" > "Save").
      4. Click on "Next" - You'll get the message "Export completed successfully". Confirm this message with "OK"

Result: Your exported data is now stored in the clipboard. Now you can continue with the instructions in BibTeX import from the clipboard.

  • Bibliographix
    1. Open Bibliographix and load the project you want to export.
    2. Click on the tab "mehr...", then on "Daten austauschen".

    3. In the left menue, choose the option "Export".
    4. Finally, click on "Datenbank im RIS-Format exportieren!".

    5. You can now import the exported file with the BibTeX data to PUMA. In the left main menu, click on “add post” and then on “post publication”. Then choose the tab “upload file”. You can find detailed instructions about it on the help page Advanced Functions.

BibTeX import from the clipboard#

Goal: This tutorial shows you how to export data in BibTeX format from the most popular reference management programs and import it into PUMA.

Precondition: First, export your list of references (publications/bookmarks) from your previous reference management program to the clipboard. You can find instructions for this on this page: BibTeX export from my previous reference management software.

  1. Click on "add post" in the Main Menu. A sub-menu appears.
  2. Click on "post publication" by pressing the left mouse button.
  3. Select the tab "BibTeX / EndNote snippet".
  4. Paste the text from the clipboard into the large text field named "Select" .
Advice: You can paste text from the clipboard by pressing the right mouse button on the large textbox and selecting "Paste" in the appearing menu. If "Paste" is gray, you didn’t export any data to the clipboard (in this case, repeat the instructions given in BibTeX export from my previous reference management software).
  5. Click on "post".
  6. PUMA shows you an overview of all data. Check if the data was successfully imported.
  7. Click on "Save" to complete the import.
